Understanding Dockets

Dockets allow operators to capture unplanned work on the fly, while still keeping all job information structured for billing later. They look and behave like normal tasks in the mobile app but contain no sensitive customer details. Admin users can later convert these dockets into billable work.

How Dockets Fit Into JobFlow

JobFlow supports two types of workflows:

Planned Work
Admin or team leaders create jobs ahead of time, allocate tasks, and schedule operators.

Unplanned Work
Operators create dockets in the field when unexpected tasks arise, mowing, cartage, cleanup, repairs, etc.

Dockets ensure last‑minute work is captured accurately, tracked properly, and billed correctly.

What Operators Can Do with Dockets

Operators can:

  • Select a docket template (task type).
  • Add machinery and implements used.
  • Enter a site location.
  • Start and complete the task as usual.
  • Record time, notes, and inputs.
  • Save the docket, which becomes a completed task.

To operators, a docket looks and behaves just like any other task — but without customer or job details.

What Admin Can Do with Dockets

Once submitted, dockets appear in the JobFlow desktop system. Admin can:

  • Review all unplanned work
  • Add docket tasks to an existing job
  • Create a new job from one or more dockets
  • Convert docket details into a full billable job
  • Invoice the work as usual

This prevents double‑ups and ensures operators don’t create their own billable jobs separately from admin.

How the System Works Together

Docket Templates
Admin create the templates operators use (e.g., Mowing, Cartage, Spraying).
These define the task type and charge‑out rate.

Operator Dockets
Operators select a template, complete the work, and submit the docket.

Admin Conversion
Admin link the docket to a job — either new or existing — and bill the work.

This workflow keeps unplanned work structured, consistent, and billable without slowing operators down.
