Job Statuses Explained
JobFlow uses a series of job statuses to track where each job is in the workflow, from creation through to invoicing and closure.
Use this guide to understand what each status means and when it should be used.
When you click and tick any of these statuses it filters the jobs in the Job List to that status.
New
- Jobs in New have been created but are not yet ready for scheduling.
- Required information is still missing
- Jobs stay in this state until an admin reviews and prepares them
- Moving to Booked or assigning tasks will progress the job
Booked
- A Booked job has all required information and is ready for resource allocation.
- Automatically moves to Scheduled when tasks are assigned
- Can also be manually moved to Scheduled
Scheduled
- Jobs in Scheduled are ready for operators or admins to complete tasks.
- Operators complete tasks via the mobile app
- Admins can complete tasks manually
Completed
- A job becomes Completed when:
- An admin manually changes the status, or
- All tasks have been marked complete (by operators or admins)
Review
- Jobs in Review are completed and waiting for a final check before invoicing.
- Used to confirm charges, quantities, and job accuracy
- Once approved, move to Invoice
Invoice
- Used when the job is ready for invoicing.
- If connected to Xero/MYOB: a draft invoice is automatically created
- If not connected: enter your own invoice number manually
Closed
- A Closed job has been:
- Completed
- Invoiced
- Paid
- This status is used for record‑keeping and future reference.
Cancelled
- Used for jobs that were created but cancelled before any work was completed.
In Dispute
- Used for jobs where the invoice or work is being disputed with the customer.
